How to add a Teams Meeting to an Outlook Event

Follow these step-by-step instructions based on the version of Outlook you are using:

New Outlook for Windows & Outlook on the Web

  1. Open Outlook and switch to the Calendar view.
  2. Click New Event in the upper left corner to open the creation window.
  3. Fill in your meeting details like the title, date, time, and invited attendees.
  4. Locate the Teams meeting toggle next to the location field.
  5. Slide the toggle to On.
  6. Click Send to distribute the invitation with the auto-generated Teams link.

Classic Outlook for Windows (Desktop App)

  1. Open Outlook and click the Calendar icon in the navigation pane.
  2. Under the Home tab, click the New Teams Meeting button in the ribbon.
  3. Enter your meeting title, required/optional attendees, and choose your time block.
  4. Note: The Teams link and dial-in details will automatically populate in the large description box.
  5. Click Send. Outlook Mobile App (iOS & Android)
  1. Open the Outlook app and tap the Calendar icon at the bottom right.
  2. Tap the + (New Event) icon.
  3. Fill out the meeting title, time, and invite your attendees.
  4. Scroll down and turn on the Teams Meeting toggle switch.
  5. Tap Save or the checkmark in the top right to send the invite.

How to Add Teams to an Existing Outlook Event

If you already created a standard calendar event and want to convert it into a Teams meeting:

  • In New Outlook / Web: Double-click the event to open it, click Edit, flip the Teams meeting toggle to On, and click Send Update.
  • In Classic Outlook: Double-click the event, click Teams Meeting on the top ribbon menu to instantly insert the link details, and click Send Update.
