Automatically Route Incoming Emails into a Dedicated Folder

The exact layout varies slightly depending on whether you are using the classic application, the new Outlook for Windows, or Outlook on the web, but the core steps remain identical.

Step 1: Create Your New Folder

Before setting up the automation, you need a target location for the emails.

Right-click on your primary email address or your Inbox in the left-hand folder pane.

Select New Folder (or Create new subfolder).

Type a custom name for your folder and press Enter.

Step 2: Create the Sorting Rule

The fastest way to build this rule is by using an existing email as a template.

Find and right-click an email that fits the criteria you want to target (e.g., from a specific sender).

Hover over Rules and select Create Rule.
A configuration menu will pop up:

Set your condition: Check the box for the criteria you want, such as From [Sender] or Subject contains.

Set your action: Check the box for Move the item to folder.

Click Select Folder (or Choose folder), click on the new folder you created in Step 1, and click OK.

Click OK to save the rule.

(Optional) A prompt will ask if you want to run the rule immediately. Check the box for "Run this rule now on messages already in the current folder"
